Co-Chairs Regional Coordinators Finance Public Relations Communications

Co-Chairs

Per the Constitution of YJP the primary duties of the Co-Chairs shall include, but not be limited to:

  • Being the official spokespersons for the YJP;

  • Promoting the Mission and Objectives of YJP;

  • Providing leadership and overall direction of YJP;

  • Fulfilling their individual obligations as set forth in the YJP Operating Guidelines;

  • Establishing, in conjunction with the Executive Board, goals for YJP for the year;

  • Executing the set-forth goals;

  • Appointing, as needed, a Committee to accomplish specific goals

  • Informing the Advisory Board every three (3) months of YJP’s recent events, current activities, and planned events; and

  • Leading YJP’s Executive Board meetings on a monthly basis

Regional Coordinators

Per the Constitution of YJP, the primary duties of the Regional Coordinator shall also include, but not be limited to:

  • Establishing a network of local contacts in at least each major Jain Center within their respective region. This includes:

  • Reaching out to Jain Center Presidents, introducing themselves as the Regional Coordinator, and asking both how YJP can assist the Jain Center, and if the Jain Center is willing to support YJP’s efforts (this can include, for example, promoting events, allowing us to have a booth during Mahavir Jayanti, etc);

  • It is preferred that the Regional Coordinator meet with the Jain Center Executive Committee in person (if possible).

  • Obtaining the name(s) of Youth Coordinators and/or Youth Committees for each Jain Center (in lieu of an established coordinator or committee, obtain name(s) of active youth at the temple) and introducing themselves;

  • Regional Coordinators are encouraged to work with Youth Coordinators and/or Youth Committees to co-host events, promote YJP, but also support Jain Center events

  • Reaching out to any Local Representative (“LR”) and confirming their interested in helping support YJP;

  • Informing the team of LRs of their duties, goals, and responsibilities;

  • Managing and creating a team of LRs, ensuring they are meeting their goals and responsibilities. In the event an LR becomes unresponsive, it is the RC’s responsibility to complete that task.

  • Maintaining regular contact with all Jain Center contacts, LRs, Youth Coordinators and/or Youth Committees, and working closely with the aforementioned people to source ideas for events, or source ideas in which YJP can participate in events;

  • Initiating and executing a variety of events (at least one (1) event per quarter minimum and at least one (1) Professional Development, Community Service, and Networking event each during the year)

  • Actively following the protocol for Event planning, this includes emailing the Communications Director about your event for Facebook posts, Newsletter submission, understanding the local temple’s deadlines for their newsletter, and following up after the event with Facebook posts on event success. It also entails updating the Finance Director with Funds gained

Finance Director

Per the Constitution of YJP the primary duties of the Director of Finance shall also include, but not be limited to:

Tracking and maintaining YJP’s finances (expenditures and revenue) in accordance to JAINA’s guidelines, including, but not limited to: (1) Monthly recurring payments; and (2) Budgets for regional retreats/national conventions

  • Actively supporting the Regional Coordinators in planning events/regional retreats by (for example) reviewing contracts with the Co-Chairs, negotiating discounts with vendors (if applicable) and helping budget overall expenses (e.g., food, session materials, registration prices);

  • Working with JAINA in issuing YJP’s checks to owed parties for items including, but not limited to:

  • Retreat expenses;

  • General expenses; and

  • Convention expenses

  • Reimbursing Executive Board members for items including but not limited to:

  • Approved travel expenses;

  • Approved retreat expenses; and

  • Approved general expenses.

  • Delivering reports on the status of YJP’s finances to the Co-Chairs every Quarter.

  • Seeking innovative ways to make YJP financially self-sufficient;

  • Initiating and coordinating fundraising projects with Executive Board members and Local Representatives from various sanghs and regions;

  • Creating and maintaining a list of fundraising projects for the year with specific goals and deadlines;

  • Reviewing list(s) of previous fundraising projects to determine successes and suggests improvements;

  • Creating and/or expanding on a consolidated YJP donor database;

  • Creating a list of potential advertising companies for YJP’s website and Newsletter

  • Locating Jain friendly organizations willing to partner at YJP’s events;

  • Developing long term relationships with businesses and organizations that share Jain values; and

  • Identifying areas of saving resources by utilizing YJP’s non-profit status.

Public Relations Director

Per the Constitution of YJP the primary duties of the Director of Public Relations shall also include, but not be limited to:

  • Managing content on the Website including overall layout and articles, along with archives. This may include working with JAINA for Website Management.

  • Review/contact Potential list of Interview Candidate

  • Initiate contact with Potential Interviews

  • Perform Spotlight Interviews

  • LinkedIn (Contact business to post Job/Post professional related articles)

  • Developing relations with temples/centers by working closely with RCs

  • Other new ways to reach membership and initiatives to energize membership

  • Manglam and other projects based on interest

  • Working closely with the Regional Coordinators to create graphics and fliers to promotes events;

  • It is encouraged that the Director of PR establish a protocol (e.g., an e-mail that includes all the details, and preferred colors) at the start of the year for Regional Coordinators to follow when submitting requests.

  • Creating advertising materials for projects and activities

Communications Director

Per the Constitution of YJP the primary duties of the Director of Public Communications shall also include, but not be limited to:

  • Managing the Newsletter process and its publication, this includes

  • Having access to and know how to use publishing software (e.g. Microsoft Word or Publisher, InDesign, etc.);

  • Gathering and editing content (including, but not limited to, articles, recipes, stories, event recaps, photos, and poems);

  • Designing, editing, and publishing issues of YJP Newsletter;

  • Targeted Mail Chimp messages

  • Facebook Post/Events/Interesting Articles

  • Managing Documents Library

  • Recording Minutes during Board meetings and sending them to the Advisory Board

  • Communicating with Parth for Email Management

  • Reviewing/editing Spotlight Interviews

  • Submitting content on behlaf of YJP to JAINA for their Newsletter/Jain Digest, and regional submissions for magazines on behalf of YJP
